CloudManager now offers advanced features to allow administrators an effective way to manage and report on mailbox delegation across their domain. This feature allows you to view all mailbox delegation, bulk manage and also produce CSV exports of this information.
Initial Setup and Synchronisation
To make use of the full functionality of this feature a user with administrative permissions will need to request a synchronisation of your domain delegation information. To do this navigate to the 'Synchronisation and Notifications' section of Global settings as shown below.
Important Notes on Synchronisation
There are some key points below which must be observed in regard to the synchronisation of delegation information.
Please note that the delegation synchronisation can only be performed once every 7 days. Once you have requested a delegate sync it will be performed during the next domain sync provided no other delegate sync has occurred in the previous 7 days.
Following the initial synchronisation all delegation management should be performed within CloudManager rather than externally (e.g. within the GSuite Admin Console). This will ensure that the latest information is always displayed. If any delegation is edited externally a new delegate sync will be required to retrieve the latest information.
Once the initial delegation sync has been completed you can now navigate to the 'Delegation' page under 'Manage Domain' in the main left hand navigation menu. This table will display a paged list of all currently configured delegation within you domain showing the each user account and the mailbox they have access too in a single view.
By selecting the action menu, you can open the filter menu which will allow you to search for specific mailboxes to display in the list.
To edit delegation of a mailbox from this screen you simply locate the delegation you wish to remove, select the checkbox next to one or more mailboxes and click the 'Remove' link at the top of the table. To view the delegation management modal for a specific mailbox you can click on the mailbox link and the popup will be displayed.
To export the information displayed on the Delegation page you simple select the 'Export' link at the top of the table. Please note this will create a CSV export of the currently displayed information, if you have applied a filter only the filtered information will be exported.
